When Are Tax Documents Required to Be Sent Out?

Most tax documents are required to be sent out by January 31 of the year after the tax year they cover. A smaller group of investment forms has until February 15, Schedule K-1s follow the entity’s return deadline (March 15 or April 15), and Form 5498 for IRA contributions doesn’t go out until May 31. Forms Due to You by January 31

Your employer, banks, brokerages, government agencies, and other payers all share this deadline. The forms that must reach you by January 31 include:

When January 31 falls on a Saturday, Sunday, or a legal holiday in the District of Columbia, the deadline shifts to the next business day.7Internal Revenue Service. Forms Due to You by February 15

Two investment-related items get an extra two weeks:

  • Form 1099-B, reporting proceeds from sales of stocks, bonds, mutual funds, and other securities. Brokerages have until February 15 because compiling cost-basis information across many transactions takes additional time.4Internal Revenue Service.   • Form 1099-MISC when it reports only substitute payments in lieu of dividends (box 8) or gross proceeds paid to an attorney (box 10). The same weekend-and-holiday rule applies. If February 15 lands on a weekend, payers have until the following Monday.

Forms That Arrive Later: K-1s and Form 5498

Two categories routinely arrive well after the January and February wave, and they catch people off guard.

Schedule K-1

If you’re a partner in a partnership, a shareholder in an S corporation, or the beneficiary of a trust or estate, you’ll receive a Schedule K-1 reporting your share of the entity’s income, deductions, and credits. The deadlines follow the entity’s own return:

  • Partnerships (Form 1065) and S corporations (Form 1120-S): K-1s due to you by March 15.
  • Trusts and estates (Form 1041): K-1s due to you by April 15.

April 15 is the same day your individual return is due, which makes filing on time almost impossible without an extension. Even a March 15 K-1 leaves little room. If you expect one, filing Form 4868 for a six-month extension is the practical move, pushing your return deadline to October 15. You still owe any estimated tax by April 15.8Internal Revenue Service. Form 5498

Your IRA trustee or custodian has until May 31 to send Form 5498, which reports contributions to your IRA during the year and through the April 15 filing deadline.9Internal Revenue Service. Because you can make IRA contributions for a tax year up to the April filing deadline, the form can’t be finalized until after that window closes. You generally don’t need Form 5498 to file your return, but keep it to verify what the custodian reported to the IRS.

What to Do if a Form Is Missing

If a deadline has passed and a form hasn’t arrived, start with the basics. Check your physical mailbox, any online account portals, and your email spam folder if you opted into electronic delivery. Forms go missing for mundane reasons: an old address on file, an email filtered as junk, a portal login you forgot you set up.

Contact the payer directly next. A call or email usually resolves it. They can resend a paper copy, reissue portal access, or confirm whether a form was even required.

If you still can’t get the form by the end of February, call the IRS at 800-829-1040. Have your name, address, Social Security number, dates of employment, and the payer’s contact information ready. Don’t let a missing form push you past the filing deadline. Filing late triggers a penalty of 5% of the unpaid tax for every month your return is overdue, up to 25%.13Internal Revenue Service. Topic No. 653, IRS Notices and Bills, Penalties and Interest On top of that, you’ll owe a separate failure-to-pay penalty of 0.5% per month on any unpaid balance.14Internal Revenue Service. Failure to Pay Penalty If your return is more than 60 days late, the minimum late-filing penalty for returns due in 2026 is the lesser of $525 or 100% of the tax owed.

When a W-2 or 1099-R is missing and April 15 is closing in, you can file using Form 4852 as a substitute. Estimate your income and withholding based on your last pay stub, bank records, or any other documentation you have. The IRS requires you to explain how you arrived at your numbers and what steps you took to get the original document.15Internal Revenue Service. Corrected Tax Documents

Sometimes a form arrives on time but with wrong numbers. In that case the payer issues a corrected version. For W-2 errors, you’ll get Form W-2c; for 1099 errors, you’ll get a corrected 1099 marked as such. There is no set deadline for corrections. Payers are instructed to issue them as soon as they discover an error, which could be days or months after the original went out.16Social Security Administration. If you already filed with the original numbers and later receive a corrected form that changes your income or withholding, amend your return with Form 1040-X.17Internal Revenue Service.
