Step 1: Filing Status

Fill in your name, address, and Social Security number, then check “Married Filing Jointly.” That single box tells your employer to apply the widest tax brackets and the largest standard deduction to your withholding math. Step 2: If Both Spouses Work

The Married Filing Jointly withholding tables assume one earner. When both spouses work, each employer withholds as if that paycheck were the household’s only income, applying the full standard deduction and the widest brackets twice. The IRS Tax Withholding Estimator

The estimator at irs.gov/W4App is the most accurate option, especially if one spouse earns significantly more, or the household has side income or unusual deductions. You enter both incomes and expected credits, and the tool tells you exactly what to write on each spouse’s W-4.

The Multiple Jobs Worksheet

Page 3 of the W-4 has a lookup table. Find the row matching the higher-paying job’s annual wages and the column matching the lower-paying job’s wages, read the dollar amount at the intersection, divide by the higher-paying job’s number of pay periods, and enter the result in Step 4(c) on that job’s W-4 only. The Step 2(c) Checkbox

If the household has exactly two jobs total and the pay is reasonably similar, both spouses can check the box in Step 2(c) on their respective W-4s. That cuts the standard deduction and tax brackets in half for withholding purposes on both jobs, which roughly corrects the double-counting. Step 3: The $4,400 for Two Children

Step 3 is where two kids directly reduce withholding. For 2026, each qualifying child under 17 is worth $2,200 on the W-4, so two children means $4,400 on line 3(a). A few conditions attach to that number:

  • Each child must be under 17 as of December 31, 2026. A child who turns 17 during the year no longer qualifies for the $2,200 credit but may qualify for the $500 Credit for Other Dependents on line 3(b).
  • The Step 3 instructions tell you to claim the credit only if combined income is $400,000 or less filing jointly. Above that, the credit phases out by $50 per $1,000 of income over the limit.3Office of the Law Revision Counsel. 26 U.S. Code 24 – Child Tax Credit
  • Line 3(b) also covers other dependents at $500 each, such as a 17-year-old, a college student you support, or an aging parent living with you.

Step 4: Optional Adjustments

Step 4 has three sub-parts. Skip any that don’t apply.

4(a): Other Income Without Withholding

Enter the annual total of income that doesn’t have taxes withheld, such as interest, dividends, or retirement distributions. Adding it here increases withholding to cover the extra tax and can replace quarterly estimated payments. Don’t include wages from a second job (that’s Step 2) or self-employment income; for freelance or gig work alongside a W-2, use the estimator, which factors in the 15.3% self-employment tax and gives you a single figure to enter in Step 4(c).1Internal Revenue Service. 4(b): Deductions Above the Standard Deduction

If expected deductions exceed the 2026 standard deduction of $32,200 for joint filers, enter the difference.   • Qualified tips, up to $25,000 per year for workers in occupations that customarily receive tips, phasing out above $300,000 for joint filers.
  • Overtime pay, meaning the premium portion of “time and a half,” deductible up to $25,000 for joint filers, same $300,000 phase-out.

4(c): Extra Withholding Per Paycheck

A flat dollar amount added to every paycheck’s withholding. The Multiple Jobs Worksheet directs its result here, and some couples use it to build a small refund cushion. When to Update the W-4

You can submit a new W-4 any time, and there’s no cap on updates. Certain life changes make one necessary:

  • A child turns 17. The credit drops from $2,200 to $500, so Step 3 needs to shrink by $1,700 or withholding will fall short.
  • A new baby arrives. Add $2,200 to the Step 3 amount to stop over-withholding for the rest of the year.
  • A spouse starts or stops working. That changes whether Step 2 applies at all.
  • A raise or job change pushes household income higher, potentially past the $400,000 phase-out for the child tax credit.

When a life change reduces the withholding you’re entitled to claim, the IRS requires a new W-4 within 10 days.6Internal Revenue Service. Safe Harbors If the Numbers Are Off

Under-withholding doesn’t just produce a tax bill. The IRS charges a penalty on the shortfall at a quarterly interest rate, which was 7% in early 2026, accruing from each installment’s due date until paid.8Internal Revenue Service. Quarterly Interest Rates

You avoid the penalty by meeting any one of these:

  • You owe less than $1,000 after subtracting withholding and credits.
  • Your withholding and estimated payments cover at least 90% of this year’s tax.
  • Your withholding equals at least 100% of last year’s total tax (110% if last year’s adjusted gross income exceeded $150,000).

The prior-year safe harbor is the usual backstop.
