The payer’s ID number on a 1099-R is the nine-digit Taxpayer Identification Number printed in the upper-left corner of the form, directly beneath the payer’s name and mailing address. It is formatted XX-XXXXXXX and labeled “PAYER’S TIN.” Almost always, it is an Employer Identification Number (EIN) assigned to the financial institution, insurance company, or plan administrator that sent you the distribution.
Where It Sits on the Form
Look at the top-left block of the 1099-R. The payer’s name and address come first. The nine-digit TIN sits immediately below that address block, in the identification header. It is not inside any of the numbered boxes.
Two easy mix-ups to avoid. Box 7 is sometimes assumed to hold the payer’s TIN; it does not. Box 7 is labeled “Distribution code(s)” and contains a letter or number identifying the type of distribution you received.1Internal Revenue Service. When tax software prompts you for the “payer’s federal identification number,” it wants the nine digits from the upper-left field only.
What the Number Represents
The payer on a 1099-R is the entity that paid you the distribution: a brokerage, bank, insurance company, or retirement plan administrator. Any entity that pays out distributions from pensions, annuities, retirement plans, IRAs, or insurance contracts is required to report those payments on Form 1099-R.2Internal Revenue Service. Why Getting It Right Matters
The IRS runs an automated matching program that compares every 1099-R a payer submits against what taxpayers report on their returns. If the payer’s EIN on your return matches, the system verifies the distribution and moves on. If it does not, the system flags a discrepancy.4Internal Revenue Service. A mismatch or missing EIN can produce a CP2000 notice. That is not a bill. It is a letter proposing changes to your reported income because the IRS could not reconcile what you filed against third-party records.5Internal Revenue Service. If the Number Is Missing, Illegible, or Wrong
Start with the payer. Contact the financial institution or plan administrator that issued the form and ask for a corrected 1099-R. Corrected forms are routine, and most payers can turn one around within a few weeks. Aim to have it in hand well before the April deadline.
If you never received the form, payers are required to send your copy by January 31; when that date lands on a weekend, it shifts to the next business day. Many institutions post digital copies to their online portals earlier. If nothing has arrived by the end of February, the IRS recommends calling 800-829-1040. When the payer will not correct the form in time — unresponsive, out of business, or otherwise — file IRS Form 4852 as a substitute for the missing or incorrect 1099-R.7Internal Revenue Service. The form also asks you to explain what you did to try to obtain the correct 1099-R and why you could not get it.8Internal Revenue Service.
