To amend a W-2, your employer files Form W-2c with the Social Security Administration to correct the wage statement, and if the corrected figures change what you owe or are owed, you then file Form 1040-X to amend your personal tax return. The employer has to move first. You cannot file a W-2c yourself, and until the corrected form exists, your 1040-X has nothing to attach.
That two-step split is where most people get stuck, so it helps to know which errors actually trigger the process, when the correction changes your taxes at all, and what to do if your employer drags its feet.
Errors That Actually Require a Correction
Not every W-2 mistake needs a formal fix. A misspelled street name or a typo in your employer’s address won’t change your tax liability or your Social Security earnings record. Annoying, but harmless.
A W-2c is necessary when the error touches money or identity:
- Wrong Social Security number or name. The SSA uses your SSN to credit earnings toward future retirement and disability benefits, so an incorrect number means your wages may not appear on your record at all.1Internal Revenue Service. General Instructions for Forms W-2 and W-3
- Incorrect wages in Boxes 1, 3, or 5. These report taxable income, Social Security wages, and Medicare wages. An error in any of them changes what you owe.
- Incorrect withholding in Boxes 2, 4, or 6. These show what your employer actually sent to the IRS and SSA. The IRS limits Box 2 corrections to administrative errors, meaning the employer entered a number different from what was actually withheld. If the withholding itself was wrong but reported accurately, that is not a W-2c issue.2Internal Revenue Service. - Wrong tax year. Wages filed under the wrong year create a mismatch that needs immediate correction.
When a W-2c Doesn’t Mean You Need to Amend
Sometimes a corrected W-2 lands in your mailbox and you do nothing further. If the corrected figures don’t change your tax liability, you generally don’t need to file Form 1040-X at all.
For example, if your employer corrects Box 3 (Social Security wages) but Box 1 (taxable wages) and every withholding box stay the same, your federal income tax return was already right. The W-2c updates your SSA earnings record without touching what you owe the IRS.
The IRS also handles some errors on its own. Math errors caught during processing get corrected automatically, with a notice by mail. Getting Your Employer to Issue the W-2c
Start with your payroll or HR contact. Point to the specific box that’s wrong and, where you can, show what the figure should be based on your pay stubs. Form W-2c shows both the originally reported information and the corrected figures side by side, which is what allows the SSA to match the correction to the original filing.4Social Security Administration. There’s no single fixed deadline for issuing a W-2c the way there is for original W-2s, which are due to employees by January 31. But employer penalties for incorrect information returns climb the longer the error sits uncorrected, so most payroll departments have a reason to move once they’re on notice.
If Your Employer Won’t Cooperate
If you’ve asked for a correction and nothing has arrived by the end of February, you have two paths that work in parallel.
First, contact the IRS at 800-829-1040 or visit a Taxpayer Assistance Center in person. Have your name, address, Social Security number, dates of employment, and your employer’s name, address, and phone number ready. Second, the IRS will mail you Form 4852, a substitute for Form W-2. If your employer still hasn’t produced a W-2c by the time you need to file, use Form 4852 instead. You’ll enter your best estimates for wages earned and taxes withheld from your own pay stubs and records, and the form asks you to explain what steps you took to get the corrected W-2 from your employer.6Internal Revenue Service. Returns filed with Form 4852 take longer to process because the IRS has to verify your estimates. Keep every pay stub, bank deposit record, and written request you sent to the employer. If the actual figures later turn out different from your estimates, you may need to file an amended return once the correct numbers are confirmed.
Filing Form 1040-X After You Get the W-2c

Filling It Out
The form uses a three-column layout. Column A holds the amounts from your original return. Column B shows the net increase or decrease for each line you’re changing. Column C is the corrected amount, calculated by adding or subtracting Column B from Column A.8Internal Revenue Service. Instructions for Form 1040-X (Rev. December 2025)
Part III asks for the reason. Keep it straightforward: state that you received a corrected W-2c from your employer showing different figures for the relevant boxes, and describe how that changed your taxable income or withholding. Attach a copy of the W-2c to the completed 1040-X. Missing that attachment is one of the most common reasons the IRS delays processing an amended return.
How to File
You can file Form 1040-X electronically using tax software for the current tax year or the two prior tax periods. If your original return for that year was filed on paper, the amended return must also be filed on paper.9Internal Revenue Service. Refunds and Tracking
If your amended return produces a refund, how you receive it depends on how you filed. Taxpayers who e-file a 1040-X for tax year 2021 or later can request direct deposit. Amended returns take much longer than original ones. The IRS says to allow 8 to 12 weeks, though processing can stretch to 16 weeks.10Internal Revenue Service. The tool covers the current year and up to three prior years.
Deadlines You Can’t Miss
To claim a refund on an amended return, you must file Form 1040-X within three years of your original filing date (including extensions) or within two years of when you paid the tax, whichever is later. A return filed early is treated as filed on the regular due date, typically April 15.11Internal Revenue Service. The SSA has a separate deadline for earnings record corrections: three years, three months, and 15 days after the calendar year the wages were paid.12Social Security Administration. Time Limit for Correcting Earnings Records Past that, incorrect earnings may stay on your record permanently, which could shrink your future retirement or disability benefits. If you spot a W-2 error from several years back, pull your SSA earnings statement at ssa.gov before assuming it’s too late; the wages may have been reported correctly to the SSA even if your paper W-2 was wrong.
Interest If You Owe More
If the correction means you owe additional tax, the IRS charges interest on the underpayment running from the original filing deadline, not from when you file the 1040-X. The rate is set quarterly and currently sits at 7% for the first quarter of 2026 and 6% for the second quarter.13Internal Revenue Service. So if your W-2c raises your taxable income, file and pay as fast as you can. Every month adds to the interest. If the correction means you overpaid, the IRS owes you interest on the refund at the same quarterly rate.
Don’t Forget the State Return
A W-2 correction that changes your federal return almost always affects your state return, since most states calculate taxable income starting from your federal figures. Most states require an amended state return after a federal change, though deadlines and forms vary. Some states give you as little as 90 days from the date the federal change becomes final; others allow six months or more. Check your state tax agency’s website for the specific form and deadline once your federal amendment is on its way.
