Is a 1095-C the Same as a W-2? Purpose, Filing, and Timing

No, a 1095-C is not the same as a W-2. Your W-2 reports the wages you earned and the taxes your employer withheld, and you need it to file your federal return. Your 1095-C reports whether your employer offered you health insurance that met the Affordable Care Act’s standards, and in most cases it does not go on your tax return at all. The only situation where the 1095-C affects your filing is if you bought coverage through the Health Insurance Marketplace and are reconciling a Premium Tax Credit.

What the W-2 Does

Form W-2, the Wage and Tax Statement, is the document your employer sends you each year showing how much you were paid and how much tax was withheld from your paychecks.1Internal Revenue Service. About Form W-2, Wage and Tax Statement Your employer must deliver it by January 31 following the end of the calendar year.2Social Security Administration. Deadline Dates to File W-2s Without it, you cannot accurately complete your Form 1040.

Two boxes carry most of the weight. Box 1 shows your total taxable wages, tips, and other compensation, which is the starting point for your gross income. Box 2 shows how much federal income tax your employer withheld. That withholding gets credited against what you owe when you file, and it determines whether you get a refund or owe a balance.3Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3

The W-2 also reports Social Security and Medicare withholding in Boxes 4 and 6, state and local tax information in Boxes 15 through 20, and pre-tax adjustments in Box 12. Box 12 uses letter codes. Code D is your elective deferral to a 401(k). Code W is your employer’s contribution to a Health Savings Account. Code DD is the total cost of your employer-sponsored health coverage.3Internal Revenue Service. 2026 General Instructions for Forms W-2 and W-3

The Code DD number sometimes catches people off guard because it looks like a large dollar figure tied to health insurance. It’s informational only. That amount is not taxable and you do not report it anywhere on your return.4Internal Revenue Service. Form W-2 Reporting of Employer-Sponsored Health Coverage

What the 1095-C Does

Form 1095-C tells you whether your employer offered you health insurance that met the ACA’s standards. It does not report wages, income, or tax withholding. Only Applicable Large Employers — those averaging at least 50 full-time or full-time-equivalent employees in the prior year — are required to send this form.5Internal Revenue Service. Determining if an Employer Is an Applicable Large Employer If you work for a smaller employer, you won’t get one.

The form has three parts. Part I identifies you and your employer. Part II is the important section: coded entries on Lines 14, 15, and 16 describe what coverage was offered, the monthly cost of the cheapest self-only plan with minimum value, and your enrollment status for each month.6Internal Revenue Service. Instructions for Forms 1094-C and 1095-C (2025) Part III is filled out only when the employer runs a self-insured plan, listing every covered person and the months of coverage.7Internal Revenue Service. The two forms do connect in one place. Code 2F on the 1095-C’s Line 16 means the employer used your W-2 wages (Box 1) as the basis for judging whether the coverage offer was affordable under a safe harbor.6Internal Revenue Service. Instructions for Forms 1094-C and 1095-C (2025) For plan years beginning in 2026, coverage is considered affordable if the employee’s required contribution for self-only coverage does not exceed 9.96% of household income.8Internal Revenue Service. Do You Enter the 1095-C on Your Tax Return?

For most people, no. You should not attach the 1095-C to your return, and the numbers on it do not get typed into your Form 1040.9Internal Revenue Service. Questions and Answers About Health Care Information Forms for Individuals (Forms 1095-A, 1095-B and 1095-C) The IRS receives its own copy directly from your employer and uses it to check the employer’s compliance with the ACA.10Internal Revenue Service. About Form 1095-C, Employer-Provided Health Insurance Offer and Coverage If you enrolled in your employer’s plan and did not buy Marketplace coverage, the 1095-C has no effect on your return. Keep it with your records and move on.

The W-2 works the opposite way. Box 1 wages feed the income section of your 1040, Box 2 withholding feeds the payments section, and Boxes 15 through 20 feed your state return. Tax software will not let you proceed without this information, and the IRS matches your return against the W-2 copy it receives from your employer.

When the 1095-C Does Matter: The Premium Tax Credit

The 1095-C becomes relevant if you bought health insurance through a Marketplace (healthcare.gov or a state exchange) and received advance Premium Tax Credits to lower your monthly premiums. At tax time you must file Form 8962 to reconcile those advance payments against the actual credit your income supports.11Internal Revenue Service. Instructions for Form 8962 (2025) – Section: Purpose of Form The 1095-C matters here because it shows whether your employer offered you affordable coverage with minimum value. If it did, you generally cannot claim the Premium Tax Credit for the months that offer was in place, even if you turned the plan down. If no affordable offer was made, or the coverage did not meet minimum value, your eligibility for the credit may be preserved.

Skipping Form 8962 when you received advance credits causes problems. An e-filed return will be rejected outright. A paper return will trigger IRS letters requesting the missing form, and any refund will be held until the issue is resolved.12Internal Revenue Service. The 1095-C Is Not the 1095-A or the 1095-B

Three different “1095” forms exist, and they get confused often. Only one of them actually feeds your federal return.

  • Form 1095-A (Health Insurance Marketplace Statement) comes from the Marketplace itself to anyone who enrolled in a qualified health plan there. This is the form you need to complete Form 8962. Unlike the 1095-C, the 1095-A is functionally required if you had Marketplace coverage.13Internal Revenue Service. About Form 1095-A, Health Insurance Marketplace Statement
  • Form 1095-B (Health Coverage) comes from insurance companies, government programs like Medicare or CHIP, or small self-insured employers not required to file the 1095-C. It confirms you had minimum essential coverage during the year.
  • Form 1095-C (Employer-Provided Health Insurance Offer and Coverage) comes from large employers to their full-time employees, showing what coverage was offered and whether the employee enrolled.

Only the 1095-A feeds directly into your return through Form 8962. Both the 1095-B and the 1095-C are records you keep but do not attach or transcribe onto your federal return.9Internal Revenue Service. If Your W-2 or 1095-C Is Missing

A missing W-2 is a real problem because you need the numbers to file. Contact your employer’s payroll department first. If by the end of February you still don’t have it, call the IRS at 800-829-1040. The IRS will contact your employer and send you Form 4852, a substitute W-2 you complete using your final pay stub. If the actual W-2 arrives later with different figures, amend your return with Form 1040-X.14Internal Revenue Service. W-2 – Additional, Incorrect, Lost, Non-Receipt, Omitted

A missing 1095-C is a much smaller issue. The IRS specifically says you do not need to wait for it before filing.9Internal Revenue Service. Questions and Answers About Health Care Information Forms for Individuals (Forms 1095-A, 1095-B and 1095-C) Insurance cards, explanation-of-benefits statements, and payroll records showing health insurance deductions serve as adequate proof of coverage. If you need the 1095-C information to evaluate Premium Tax Credit eligibility, your payroll and benefit enrollment records will usually tell you whether an affordable offer was made.

Why the 1095-C Often Arrives After the W-2

Employers must deliver your W-2 by January 31.2Social Security Administration. Deadline Dates to File W-2s The 1095-C runs on a later schedule. For the 2025 tax year, the IRS automatically extended the furnishing deadline to March 2, 2026.6Internal Revenue Service. Instructions for Forms 1094-C and 1095-C (2025) Similar extensions have been standard in recent years, so the 1095-C for a given tax year typically shows up several weeks after the W-2. That gap sometimes fuels the impression that something is missing. It usually isn’t. And because the 1095-C is not required to file, the later arrival rarely delays anyone’s return.

Hold onto both forms after filing. The IRS recommends keeping records that support your return for at least three years from the date you filed, which matches the standard audit window.15Internal Revenue Service. How Long Should I Keep Records? If you underreported income by more than 25%, the IRS has six years to audit, so longer storage is reasonable if any part of the return is uncertain.
