IRS Form 1096: Instructions, 2026 Deadlines, and Penalties

IRS Form 1096 is the cover sheet you attach when you mail paper copies of information returns such as the 1099, 1098, 5498, or W-2G to the IRS, and it summarizes the package so the IRS can match your cover to the forms inside. You fill it out only if you are paper filing. Electronic filers skip it entirely, and because the IRS now requires e-filing for anyone submitting 10 or more information returns of any type combined in a calendar year, most filers never touch this form.1Internal Revenue Service. The 10-return count aggregates across all return types. Three 1099-NECs, four 1099-MISCs, and three W-2Gs adds up to ten, which puts you into mandatory e-filing.3Internal Revenue Service. E-file Information Returns Paper filing with a 1096 is really only for very small operations sending a handful of returns, or for filers submitting corrected or late returns on paper.

One rule shapes everything else about the form: you need a separate Form 1096 for each type of information return you send. Five 1099-NECs and three 1099-MISCs are two packages, each with its own cover sheet. You cannot bundle different form types under one 1096.

Get the Official Scannable Form First

You cannot print Form 1096 from the IRS website and file it. The IRS prints the form in special scannable red ink, and photocopies or home-printed versions are not machine-readable. To order official copies, go to IRS.gov/orderforms and choose “Employer and Information Returns.” The IRS mails the forms and instructions to you at no charge. Some IRS Taxpayer Assistance Centers stock them, and office supply vendors that carry official IRS forms sell them as well. Order early. Delivery can take a couple of weeks, and waiting until late January for a February 2 deadline leaves no margin.

Filling Out Form 1096 Field by Field

Every entry on Form 1096 should already exist somewhere on the information returns you are transmitting. The form is really an aggregator.

Filer Identification

Enter your name, street address, city, state, ZIP code, and phone number at the top. This must match exactly what appears on the attached returns. Mismatches cause processing problems.

Your Taxpayer Identification Number goes in the designated box. Businesses use their Employer Identification Number. Sole proprietors who don’t have an EIN use their Social Security Number.

Box 1: Type of Form

Check the single box for the type of return attached. The form lists a code for each return type, including 1099-NEC, 1099-MISC, 1098, W-2G, and others. Only one box gets checked per Form 1096. Box 3: Total Number of Forms

Enter the count of individual returns attached. If you are sending 15 copies of Form 1099-MISC, write “15.” Only count the forms matching the type checked in Box 1.5Internal Revenue Service. General Instructions for Certain Information Returns

Box 4: Federal Income Tax Withheld

Enter the total federal income tax withheld across all attached returns. This matters when the returns report backup withholding or other federal tax withheld, such as tax withheld at the source on gambling winnings reported on W-2G. Box 5: Total Amount Reported

Most errors happen here. Box 5 is the aggregate dollar total from specific boxes on the attached returns, and which boxes you sum depends on the form type.

  • For 1099-NEC, total Box 1 (nonemployee compensation) from every attached form.
  • For 1099-MISC, total Boxes 1, 2, 3, 5, 6, 7, 8, 10, 13, and 14.
  • For 1099-DIV, total Boxes 1a, 2a, 3, 9, 10, and 11.
  • For 1098-T, 1099-A, and 1099-G, leave Box 5 blank.

The Box 5 instructions printed on the back of Form 1096 list which boxes to sum for each return type. Check that list rather than guessing. Round the final total to the nearest whole dollar.

Signature

An authorized person must sign at the bottom, certifying that the Form 1096 and all attached returns are accurate and complete. Print the signer’s name, title, and phone number below the signature line. The IRS rejects unsigned packages, and that rejection can push you past the deadline.

Assembling and Mailing the Package

Attach only Copy A of each return, the version printed in red scannable ink. Copies B, C, and the rest go to the recipient or into your own files, not to the IRS.4Internal Revenue Service. Form 1096 Annual Summary and Transmittal of U.S. Information Returns

Mail everything in a flat mailer. Do not fold the forms. The IRS scans them, and creases cause reading errors. If your forms come two or three to a page, send the entire page even when only one form on it is filled out. Do not cut them apart.

The correct IRS mailing address depends on the state where your principal business is located. The instructions that ship with the official Form 1096 list the specific Submission Processing Center for each state, and filers outside the United States use a separate designated address. Using the wrong center delays processing, so confirm the address before you seal the envelope.

Filing Deadlines for 2026

The deadline that governs your Form 1096 is the deadline of the return type inside it.

  • Form 1099-NEC is due January 31. Because January 31, 2026 falls on a Saturday, the deadline shifts to Monday, February 2, 2026. This date applies to both paper and electronic filers, and there is no automatic extension available for 1099-NEC.6Internal Revenue Service.   • Most other information returns (1099-MISC, 1098, W-2G, 5498, and similar) are due on paper February 28, which in 2026 falls on a Saturday and shifts to Monday, March 2, 2026. When a filing deadline falls on a Saturday, Sunday, or legal holiday in the District of Columbia, it moves to the next business day.6Internal Revenue Service. Fixing Mistakes After You File

If you discover a mistake after mailing, file a corrected version as soon as possible. You do not correct the original Form 1096. You prepare a new Form 1096 to accompany the corrected returns.5Internal Revenue Service. General Instructions for Certain Information Returns

How you correct depends on what was wrong. For a wrong dollar amount, code, or checkbox, prepare a new return with the “CORRECTED” box checked and the right information, attach it to a new Form 1096, and mail it to your Submission Processing Center. Do not include the original incorrect return.

For a wrong or missing taxpayer ID, wrong name and address, or wrong form type, the fix takes two returns: one that zeroes out the incorrect entry to cancel the original, and a second with the correct information. Both go under a single Form 1096 with a notation in the bottom margin, such as “Filed To Correct TIN” or “Filed To Correct Return,” identifying the reason.

Use a separate Form 1096 for each return type you are correcting. Originals and corrections for the same return type can share a 1096. Don’t staple the corrected forms to the 1096, and don’t send copies of the original incorrect returns. You also need to furnish corrected statements to the recipients.

What Late or Wrong Filing Costs

The IRS charges a per-form penalty for information returns filed late, filed incorrectly, or not filed at all. The penalty attaches to the underlying information return rather than to Form 1096, but a late or defective 1096 means late or defective returns inside it.   • Filed up to 30 days late: $60 per return.
  • Filed 31 days late through August 1: $130 per return.
  • Filed after August 1 or not filed at all: $340 per return.
  • Intentional disregard: $680 per return with no maximum cap.

Annual maximum penalties depend on business size. Filers with average annual gross receipts over $5 million face caps of $683,000, $2,049,000, and $4,098,500 across the three lateness tiers. Small businesses with gross receipts of $5 million or less have caps of $239,000, $683,000, and $1,366,000.10Internal Revenue Service. 20.1.7 Information Return Penalties

The tiers add up quickly. Ten 1099s filed two months late is $1,300. File on time when you can, and if you can’t, file as soon as you can, because the per-return penalty more than doubles the longer you wait.
