How to Upload W-2s to the IRS Electronically

To file W-2s electronically with the federal government, you upload them to the Social Security Administration’s Business Services Online (BSO) portal, not to the IRS directly. The SSA acts as the clearinghouse: it credits each worker’s earnings record and passes the tax data to the IRS. If you’ll file 10 or more information returns this year, e-filing is required. For the 2026 tax year, your wage files and employee copies are due February 1, 2027, because January 31 falls on a Sunday.1Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026)

Who Has to File Electronically

The federal threshold is 10 information returns in a calendar year, counted across all types together: W-2s, 1099s, 1098s, and the rest. Cross that combined total and you must file electronically.2Internal Revenue Service. E-file Information Returns Almost any business with 10 or more employees is captured by this rule.

If you truly cannot e-file because of financial hardship, religious belief, or a federally declared disaster, you can request a waiver by submitting Form 8508 to the IRS at least 45 days before the filing deadline. First-time waiver requests are approved automatically.3Internal Revenue Service. Register for a BSO Account Before Filing Season

All electronic W-2 filing runs through ssa.gov/bso. Register early. Identity verification takes time, and you can’t upload anything until your account is active.4Social Security Administration. Business Services Online (BSO)

BSO no longer uses its own username and password. You sign in through either ID.me or Login.gov, the two federal identity services. During setup you’ll provide your Employer Identification Number, business name, and personal identifying information including your Social Security number and date of birth. The SSA verifies everything against its records before granting access.5Social Security Administration. Prepare Your Wage File

You have two ways to produce a W-2 file the SSA will accept.

If you use payroll software, export the W-2 wage file. Nearly every payroll platform generates a file in the SSA’s required EFW2 format. If you don’t have payroll software, BSO includes a free fill-in-the-blank tool called W-2 Online. You type the data straight into the browser and the system formats it for you. Whichever route you take, the file needs your EIN, each employee’s SSN, and the wage, withholding, and deferred compensation amounts from the W-2 boxes. Verify Employee Names and SSNs First

Name-and-SSN mismatches are the most common reason W-2 files get flagged, and they’re preventable. Inside BSO, the free Social Security Number Verification Service (SSNVS) checks employee names against SSA records before you submit. Verify up to 10 names instantly online, or upload a batch of as many as 250,000 names for overnight processing.8Social Security Administration. Validate the File with AccuWage Online

If your file came out of payroll software, run it through AccuWage Online before uploading. AccuWage is a free BSO tool that reads your EFW2 file and flags formatting problems that would cause the SSA to reject it.9Social Security Administration. One caution: AccuWage only checks structure. It won’t catch a wrong wage amount or a transposed digit that still passes checksum rules. That’s what SSNVS and a careful review of your payroll data are for.

Upload the File

With a validated file and an active BSO account, the actual upload takes minutes.

  • Sign in to BSO at ssa.gov/bso through ID.me or Login.gov.
  • Select “Report Wages to Social Security” from the main menu.
  • Choose “Upload Formatted Wage File,” then “Submit a Formatted Wage File.”
  • Select the W-2/W-3 radio button for the correct tax year, browse to your EFW2 file, and click “Upload File.”10Social Security Administration. Tax Year 2025 Wage File Upload Tutorial

If the file passes the SSA’s preliminary checks, you’ll see a success page with a Wage File Identifier (WFID). Save or print this page. The WFID is your proof of submission and the reference number for any future contact with the SSA about that file.10Social Security Administration. Tax Year 2025 Wage File Upload Tutorial

If it fails, the system shows an error message describing the problem. Fix the source file, run AccuWage again, and re-upload.

Watch Your Status After Upload

Acceptance at upload isn’t the end. The SSA runs deeper checks after receiving the file, and those checks can still turn up errors. Log back into BSO and use “Report Wages to Social Security” to view submission status. The page tells you whether the file is still processing, has been accepted, or was flagged.11Social Security Administration. Business Services Online

If the SSA finds problems after initial acceptance, you’ll get a notice. You then have 45 days from the notice date to fix the file and resubmit without triggering IRS penalties.12Social Security Administration. Fixing W-2s After They’re Accepted

Errors you find after the SSA has accepted the original submission require a Form W-2c (Corrected Wage and Tax Statement) paired with a transmittal Form W-3c. Electronic W-2c filing uses the same BSO workflow as the original upload, but you select the W-2c/W-3c radio button on the upload page instead of the standard W-2 option. The file must follow the EFW2C format, and the 10-return e-filing threshold applies to corrections too.13Social Security Administration. If the original had the wrong EIN, file a W-3c to correct that first, before submitting individual W-2c forms.

Deadlines and What Happens If You Miss Them

The February 1, 2027 date for tax year 2026 covers both jobs: transmitting Copy A of every W-2 and Form W-3 to the SSA, and furnishing Copies B, C, and 2 to each employee.1Internal Revenue Service. General Instructions for Forms W-2 and W-3 (2026) Normally the deadline is January 31; it shifts to the next business day when January 31 lands on a weekend.

Extensions are available but rarely granted. A paper Form 8809 filed by the due date can extend the SSA filing deadline, but the extension isn’t automatic. You must explain why you need it, and the IRS accepts only narrow reasons such as a federally declared disaster, a first-year business, or the death or serious illness of the person responsible for filing. Even with a granted extension, employee copies still go out by the original date unless you separately request a 15-day extension on Form 15397.14Internal Revenue Service. Penalties add up quickly. The IRS charges separately for failing to file a correct return with the SSA and for failing to furnish a correct statement to the employee, and each late return counts on its own. For returns due in 2026:15Internal Revenue Service. Information Return Penalties

  • Filed within 30 days of the deadline: $60 per return.
  • Filed more than 30 days late but by August 1: $130 per return.
  • Filed after August 1, or never filed: $340 per return.
  • Intentional disregard: $680 per return, with no annual cap.

Annual maximums apply to every tier except intentional disregard. Businesses with gross receipts above $5 million face a cap of $4,098,500 at the highest tier; smaller businesses cap out at $1,366,000.16Internal Revenue Service. IRM 20.1.7 Information Return Penalties For any employer with more than a handful of workers, treating the deadline as immovable is the cheapest path.

State filing rules are separate. If your state requires its own W-2 submission, check that deadline independently; it may not match the federal date.

Keep Your Records

Save the WFID receipt, a copy of the EFW2 file you uploaded, and the payroll records behind it. The IRS requires employers to keep employment tax records for at least four years after the fourth-quarter return for the year is filed.17Internal Revenue Service. Employment Tax Recordkeeping Six years is a safer working minimum, since audits and employee earnings disputes sometimes surface later.

W-2 files contain a Social Security number for every person on your payroll. Store them encrypted, limit access to payroll and tax staff, and destroy files securely when the retention period ends.
