You can get a business tax transcript from the IRS for free through four channels: online through the IRS Business Tax Account, by mail or fax using Form 4506-T, by phone through the Business and Specialty Tax Line, or in person at a Taxpayer Assistance Center. Online is the fastest, but not every business type is eligible yet. The rest of this guide walks through each option, what to have ready, and how to keep your request from being rejected.
Pick the Right Transcript First
The IRS offers several transcript types, and asking for the wrong one wastes a cycle. A tax return transcript shows most line items from the return as you filed it, with no later adjustments. A tax account transcript shows the financial activity for a tax period: liability, payments, penalties, interest, refunds, and any post-filing changes. A record of account transcript combines the two and is the safest choice when a third party doesn’t specify. An entity transcript shows the identifying data the IRS has on file for your business, such as name, EIN, address, and filing requirements. If a lender or agency asked you for “your business transcript” without more detail, ask which one. If you can’t get an answer, the record of account is the broadest.
What to Have Ready Before You Request
IRS systems reject requests that don’t match the master file exactly. Before you start any channel, gather:
- The exact legal business name as it appears on the filed return for the period you’re requesting. A missing “Inc.” or a small spelling variation will cause a rejection.
- Your Employer Identification Number.
- The tax form number you filed, such as Form 1120, 1120-S, 1065, or 941. One request covers one form type.2Internal Revenue Service. Form 4506-T – Request for Transcript of Tax Return
- The tax period year-end date in MM/DD/YYYY format. Calendar-year filers use 12/31/YYYY; fiscal-year filers use their actual year-end.
- The mailing address that was on the return for that period. If the business has moved, you’ll need the old address and the current one.
- Which transcript type you want.
Online Through the Business Tax Account
The IRS Business Tax Account lets eligible businesses view, print, or download transcripts immediately instead of waiting for mail.1Internal Revenue Service. Get a Business Tax Transcript
Eligible entities currently include sole proprietors with an EIN who file Schedule C or Schedule F, partnerships filing Form 1065, S corporations filing Form 1120-S, C corporations filing Form 1120, single-member LLCs that file as an S corporation or partnership, government entities, tax-exempt organizations, and Indian Tribal governments. LLCs that file as sole proprietors on Schedule C or Schedule F are not yet eligible.3Internal Revenue Service. Business Tax Account
To register, the person setting up the account verifies their identity through the IRS’s third-party identity authentication provider. The IRS then confirms that person’s relationship to the business and sets what they can see. If you register as a Designated Official, you’ll need to renew that role each year during a six-week renewal window; miss it and you register from scratch.3Internal Revenue Service. By Mail or Fax With Form 4506-T
If your business isn’t eligible for the online account, or if you want the transcript sent directly to a third party, Form 4506-T is the standard method. The form can also designate a third-party recipient.2Internal Revenue Service. Form 4506-T – Request for Transcript of Tax Return
Send the completed form to the IRS service center for the state where the business was located when the return was filed. Business transcripts are processed at two centers, one in Ogden, Utah, and one in Kansas City, Missouri. The right address for your state is on the IRS’s “Where to File” page for Form 4506-T. Two timing rules matter. The IRS must receive the form within 120 days of the date you signed it, or it’s rejected and you’ll need to sign a new one. And if you just filed the return, wait before requesting: at least two to three weeks after an e-filed return, or six to eight weeks after a paper return, before the transcript exists in the system.1Internal Revenue Service. Most requests are processed within 10 business days, and the transcript is mailed to the address of record or to the third party you designated on the form. Fill in every applicable line and make sure the form is legible; incomplete or unreadable submissions are rejected without processing.2Internal Revenue Service. By Phone
Call the IRS Business and Specialty Tax Line at 800-829-4933, Monday through Friday, 7 a.m. to 7 p.m. your local time (Alaska and Hawaii follow Pacific time).5USAGov. Contact the IRS for Questions About Your Tax Return
The caller has to be an authorized person for the business, like a corporate officer or partner, and needs to verify the business’s identity using the data points above. The phone line is useful for confirming that a transcript is available for a given period before you commit to a mail or fax request. Note that even a phone-initiated request still results in a transcript mailed to the address of record.
In Person at a Taxpayer Assistance Center
Business owners or authorized representatives can also request transcripts in person at an IRS Taxpayer Assistance Center. Call ahead to schedule an appointment; walk-ins get lower priority. Bring a valid photo ID and documentation showing your authority to act for the business. The advantage of going in person is that the representative can pull up what the IRS actually has on file, which is often the fastest way to fix a mismatch that has caused prior rejections.
When a Lender Is Pulling the Transcript for You
If a lender is verifying your tax information for a loan, they’ll usually pull the transcript themselves through the Income Verification Express Service using Form 4506-C instead of Form 4506-T. The IVES program lets authorized participants, typically mortgage lenders, banks, and credit unions, receive transcripts electronically.7Internal Revenue Service. You authorize the pull either through your Business Tax Account or by signing Form 4506-C. As with Form 4506-T, the signed 4506-C must reach the IRS within 120 days, and one request covers one form type.8Internal Revenue Service. Form 4506-C – IVES Request for Transcript of Tax Return If a lender hands you a 4506-C to sign, that’s the normal process; you don’t need to request the transcript yourself.
Who Can Sign the Request
The IRS will reject a request signed by someone without proper authority. The form itself requires the signer to attest that they’re authorized.2Internal Revenue Service. Form 4506-T – Request for Transcript of Tax Return
- For a corporation: an officer with legal authority to bind the corporation, anyone designated by the board, or an officer or employee acting on the written request of a principal officer (attested by the secretary or another officer). A shareholder who owns at least 1 percent of outstanding stock can also sign, with supporting documentation.
- For a partnership: any person who was a partner during any part of the tax period being requested.
- For other entities: authorization documentation has to be attached. For an LLC, that’s typically a member (member-managed) or a manager (manager-managed).
A tax professional or other representative can sign for you, but only if you’ve delegated that authority on line 5 of Form 2848 (Power of Attorney), and the completed Form 2848 has to be attached to the transcript request.2Internal Revenue Service. Form 4506-T – Request for Transcript of Tax Return
Why Requests Get Rejected
A handful of preventable mistakes cause most rejections.
Name and address mismatches are the top cause. The business name has to match the IRS master file character-for-character. If the business changed its name or address after the tax period you’re requesting, include both the old information from that period’s return and the current information. A business that filed as “Smith Consulting LLC” and reorganized as “Smith Consulting Inc.” will be rejected if the new name is used for an old year.
The wrong form type also breaks the match. If you filed Form 1120-S and ask for Form 1120, the IRS finds no matching record. Check the form number on your filed copy. A single wrong digit in the tax period does the same thing.
And don’t request too early. Within two to three weeks of an e-filed return, or six to eight weeks of a paper return, the transcript doesn’t exist in the system yet, and no amount of correct data will produce one.1Internal Revenue Service. Get a Business Tax Transcript
