To find an old W-2, start with the IRS wage and income transcript, which shows the data from every W-2 the IRS received for the last ten tax years and is free to download from your online account. If you need the actual form rather than the numbers, contact the employer that issued it. For anything older than ten years, only the Social Security Administration keeps a record.
Pull a Wage and Income Transcript from the IRS
The fastest source is your IRS Individual Online Account. The wage and income transcript shows the data from every W-2, 1099, and other information return the IRS received for a given tax year, and it covers the current year plus the nine prior years.1Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them For most purposes, including filing a late return or verifying income for a loan, the transcript works just as well as the paper W-2.
Sign in at irs.gov to view, print, or download transcripts immediately.2Internal Revenue Service. Get Transcript If you don’t have an account yet, you’ll verify your identity through ID.me, which requires a photo of a driver’s license, state ID, or passport, plus a selfie taken with a smartphone or webcam.3Internal Revenue Service. New Online Identity Verification Process for Accessing IRS Self-Help Tools Getting through verification is the slow part; once you’re in, every future request is instant.
If the online tool doesn’t work for you, request the same transcript by mail using Form 4506-T. Check line 8 to specify W-2 and other information-return data.4Internal Revenue Service. Form 4506-T, Request for Transcript of Tax Return There’s no fee, and the IRS processes most requests within ten business days.
If you specifically need a photocopy of the original return with the W-2s attached, use Form 4506 instead. That costs $30 per tax year and can take up to 75 calendar days.5Internal Revenue Service. Form 4506, Request for Copy of Tax Return Most people don’t need it, since the free transcript contains the same income and withholding figures.
Ask Your Former Employer
If you need the actual W-2 form rather than a transcript, the employer that issued it is the most direct source. Reach out to payroll or human resources with your full name, Social Security number, the dates you worked there, and the address on file at the time. Many companies keep an online portal where current and former employees can download past W-2s themselves, so ask about that before requesting a mailed copy.
Employers must keep employment tax records, including W-2 data, for at least four years after the tax becomes due or is paid.6Internal Revenue Service. Topic No 305, Recordkeeping Larger companies often keep records longer. If the business has closed, been acquired, or simply won’t respond, you’ll need the IRS or SSA instead.
When the Employer Won’t Respond
If you’ve asked and still don’t have the W-2 by the end of February, call the IRS at 800-829-1040. Have your name, address, phone number, and Social Security or ITIN ready, along with the employer’s name, address, phone number, and the dates you worked there. The IRS will contact the employer and request that they issue the missing W-2.7Internal Revenue Service. If You Dont Get a W-2 or Your W-2 Is Wrong While you wait, the IRS may send you Form 4852 to use as a substitute if the W-2 never arrives.
For W-2s Older Than Ten Years
The IRS transcript only covers the current year and nine prior years.1Internal Revenue Service. Transcript Types for Individuals and Ways to Order Them Beyond that, the Social Security Administration is the only source, because it keeps a record of your earnings for your entire working life.
The quickest check is a my Social Security account at ssa.gov, which shows yearly earnings by employer and lets you verify the reported amounts.8Social Security Administration. - Non-certified itemized statement: $61
- Certified itemized statement: $96
- Certified yearly totals: $35
Mail the form to the SSA in Baltimore. Processing takes up to 120 days, and the SSA must receive the form within 120 days of the date you sign it.9Social Security Administration. Form SSA-7050-F4, Request for Social Security Earnings Information Certified versions are typically for legal proceedings or benefits applications; the non-certified version is enough for personal tax filing.
If the Deadline Is Coming and You Still Don’t Have It
File Form 4868 for an automatic six-month extension, which moves your filing deadline to October 15.10Internal Revenue Service. Form 4868, Application for Automatic Extension of Time to File US Individual Income Tax Return The extension covers filing, not payment. You still owe interest on any unpaid tax from April 15 forward, currently 7% per year compounded daily.11Internal Revenue Service. Interest Rates Remain the Same for the First Quarter of 2026 Estimate what you owe and send a payment with the extension to keep that cost down.
If you can’t wait, file using Form 4852 as a substitute W-2. Estimate wages and withholdings from pay stubs, bank statements showing direct deposits, or your IRS wage and income transcript. Your final pay stub for the year usually shows year-to-date earnings and withholdings, so it’s the most useful single document. Be accurate: if the real W-2 turns up later and the numbers don’t match, you have to amend by filing Form 1040-X.12Internal Revenue Service. Form 4852, Substitute for Form W-2, Wage and Tax Statement
Don’t skip filing. The failure-to-file penalty runs 5% of the unpaid tax for each month your return is late, up to 25%. If you’re more than 60 days late, the minimum penalty is the lesser of $525 or the full tax owed.13Internal Revenue Service. Topic No 653, IRS Notices and Bills, Penalties and Interest Charges Filing with estimated numbers and amending later is always cheaper than not filing.
Requesting a W-2 for Someone Who Has Died
If you’re an executor, administrator, or personal representative, you can request the deceased person’s wage and income transcripts. You’ll need to provide their full name, last address, and Social Security number, along with a copy of the death certificate, plus either Letters Testamentary from the probate court or a completed Form 56, Notice Concerning Fiduciary Relationship.14Internal Revenue Service. Request Deceased Persons Information Submit those documents with Form 4506-T if the transcript needs to go to your address rather than the deceased person’s last address on file.
When None of the Official Sources Work
A few alternative records can fill the gap. Pay stubs are the most useful, especially the last one of the year, since it usually shows cumulative earnings and total taxes withheld. Bank statements with regular direct deposits from an employer establish a payment pattern, though they won’t show withholding. If you used tax software in prior years, the saved returns contain the income figures you originally reported.
An employer-issued income verification letter often satisfies lenders. These documents don’t replace a W-2 for the IRS, but paired with a wage and income transcript they usually give you enough to reconstruct the year.
