FedEx does not have one Employer Identification Number that covers the whole company. FedEx Corporation is the publicly traded parent, but the shipping, ground, and freight work is done by separate subsidiaries, and each one is its own legal entity with its own nine-digit EIN. The FedEx Employer Identification Number you need depends on which entity pays you or bills you, and the only reliable way to get it is from your W-2 (if you’re an employee) or a completed Form W-9 from that specific entity (if you’re a contractor or vendor).
Why There Isn’t a Single FedEx EIN
An EIN is a nine-digit number the IRS assigns to a business, functioning as a company’s tax ID the same way a Social Security Number identifies a person.1Internal Revenue Service. FedEx began consolidating some operating companies into Federal Express Corporation in June 2024, but FedEx Freight and FedEx Ground Package System Corporation remained listed as separate legal entities on corporate filings as of mid-2025. For tax purposes, what matters is the legal entity name on your contract or pay stub, not the brand name on the truck. Using the parent company’s EIN for a transaction that actually runs through a subsidiary creates a name and TIN mismatch that invalidates the filing.
Finding the EIN on Your W-2
If you work for FedEx as an employee, your EIN is on your Form W-2 in Box b, labeled “Employer identification number.” It’s nine digits formatted with a dash after the second digit (XX-XXXXXXX), and it sits near the employer’s name and address. That’s the number you enter when you file your individual return.
If your W-2 never arrived, arrived with wrong numbers, or was lost, the IRS says to contact your employer first. When FedEx doesn’t produce a corrected W-2 by the end of February, you can call the IRS at 800-829-1040 to file a formal complaint, and the IRS will send your employer a letter requesting the corrected form within ten days. If nothing arrives in time to file, you can use Form 4852 as a substitute W-2, estimating wages and withholding from your final pay stub. Getting the EIN as a Contractor or Vendor
If you invoice FedEx, request a completed Form W-9 from the specific entity you contract with. The W-9 is a standard IRS form that lists the payer’s exact legal name, EIN, and tax classification in one place.4Internal Revenue Service. Ask early. Waiting until invoices are already flowing creates pressure and raises the odds of a filing error.
FedEx also runs a Supplier Registration Portal (FSRP) for registered vendors, where tax compliance documents are sometimes posted. FedEx additionally publishes W-9 forms for some of its entities at fedex.com/en-us/trust-center/w9. That page has historically included documents for entities like FedEx Custom Critical Inc. and FedEx Office, though what’s posted changes over time. Always confirm that the entity name on any downloaded W-9 matches the entity name on your contract.
Skip the third-party EIN lookup sites and forum posts. They frequently list outdated or parent-level numbers, and an EIN tied to the wrong legal name will trigger IRS problems even if the number technically belongs to “FedEx” somewhere.
Filling Out Your Own W-9 Correctly
Most EIN mistakes happen on the payee’s side. Line 1 of Form W-9 requires your legal name exactly as it appears on your tax return. Part I is where you enter your Taxpayer Identification Number, which for a business is your EIN. The name on Line 1 and the TIN in Part I must match, and if they don’t, the form is invalid. If you’re a sole proprietor, Line 1 is your personal name, not your business name. Your DBA goes on Line 2. The W-9 you submit reports your tax information as the payee. FedEx uses it to prepare information returns (such as Form 1099-NEC) reporting what it paid you. You’ll want FedEx’s W-9 in return for your own records. The two forms cover opposite sides of the same transaction.
Foreign Vendors Use a W-8 Instead
If you’re a foreign person or entity doing business with FedEx, you don’t submit a W-9 at all. You’ll file one of the W-8 forms depending on your tax status, most often Form W-8BEN-E for foreign entities.6Internal Revenue Service. What Happens If the EIN Is Wrong
When a payee fails to furnish a correct TIN, or the IRS notifies the payor of a mismatch, federal law requires the payor to withhold 24% of every reportable payment and remit it directly to the IRS.7Office of the Law Revision Counsel. 26 USC 3406 – Backup Withholding This is backup withholding. For nonemployee compensation, backup withholding applies immediately when no TIN is provided. March 2024) A FedEx contractor whose W-9 is invalid can see nearly a quarter of every payment diverted to the IRS starting with the first check.
Separate from withholding, the IRS imposes penalties under 26 U.S.C. ยง 6721 on the filer for information returns with incorrect TINs. The penalty is charged per form and rises with how long the error goes uncorrected: a reduced amount if fixed within 30 days of the filing deadline, a mid-tier amount if fixed after 30 days but by August 1, and the full amount if not corrected by August 1 or not filed at all. Intentional disregard carries a significantly higher penalty with no annual cap reduction. Verifying a TIN Before You File
If you file information returns yourself and want to confirm a name/TIN combination before submitting, the IRS runs a free TIN Matching Program through its e-Services portal. It checks whether the name and TIN you have on file match the IRS database, catching mismatches before they generate penalty notices.10Internal Revenue Service.
