You can use a PO Box on your tax return only if the post office doesn’t deliver mail to your home. That single condition, tucked into the Form 1040 instructions rather than printed on the form itself, decides the question for most filers. If your carrier delivers to your street address, the IRS expects your street address on the return. If it doesn’t, a PO Box is fine.
The Rule for Form 1040
The Form 1040 instructions state it plainly: “Enter your box number only if your post office doesn’t deliver mail to your home.”1Internal Revenue Service. The same wording shows up on Form 8453, the transmittal form for e-filed returns, so there’s no e-file loophole.2Internal Revenue Service. In practice, the taxpayers who legitimately use a PO Box on a 1040 are those in rural areas without home delivery, or those whose local post office only delivers to boxes. When you do use one, format it on the address line as “P.O. Box” followed by the box number.
Business Filings Are Stricter
If you’re filing on behalf of a business, a PO Box often won’t satisfy the form. Form SS-4, the application for an Employer Identification Number, has two address fields. Line 4a takes a mailing address and will accept a PO Box. Line 5a demands the entity’s physical street address and states, “Don’t enter a P.O. box number here.”3Internal Revenue Service. Form 8822-B, used to change a business address or responsible party, keeps the same split between a mailing address and a physical location.4Internal Revenue Service. A Private Mailbox Is Not a PO Box
A mailbox rented from The UPS Store, FedEx Office, or any other commercial mail receiving agency is not a PO Box, and the Postal Service formats them differently. Only the USPS provides PO Box delivery, so you cannot label a private mailbox as “PO Box” on the address line. Mail sent to one must include “PMB” or “#” followed by the box number, along with the street address of the mailbox provider.5Postal Explorer. Private Mailbox Addresses
So if your provider is at 123 Main Street and your box is 456, the line reads “123 Main Street PMB 456” or “123 Main Street #456.” If the provider’s own address already has a secondary element such as a suite number, use “PMB” rather than “#” in a three-line format.5Postal Explorer. Keep the Address on File Current
Whatever address you use, keep it current. That matters because once the notice goes out, you have 90 days to petition the Tax Court (150 days if the notice is addressed outside the United States). To update your address, individuals file Form 8822; businesses and other entities with an EIN file Form 8822-B.10Internal Revenue Service.
